Hero Travel Fund: Terms & Conditions

The Hero Travel Fund exists to honor those who give so much to others; these Terms & Conditions are here to provide clarity and support the integrity of that experience for everyone involved.

1. Overview

The Hero Travel Fund (“HTF”) is a program offered by Explorer X (“Company”) designed to provide a fully funded, thoughtfully crafted travel experience to selected recipients (“Recipients”). While each application is carefully reviewed, submission does not guarantee selection.

2. Eligibility & Application

By submitting an application, you confirm that all information provided is accurate and truthful to the best of your knowledge. You further confirm that you have the full right and authority to submit any materials included in your application, including essays, images, and videos. Applicants must be at least 18 years of age. Explorer X reserves the right to verify eligibility, request additional information, and disqualify any applicant if information is found to be incomplete, inaccurate, or misleading.

3. Selection Process & Non-Liability

Recipients are selected at the sole discretion of Explorer X using internal criteria, a structured review process, and a dedicated selection team. The selection process is inherently subjective, and not all applicants will be chosen. By applying, you acknowledge and agree that Explorer X is under no obligation to select any applicant, and that all decisions are final. You further agree to waive any right to bring claims, disputes, or legal action against Explorer X related to the selection or non-selection of any applicant.

4. Content Release & Usage Rights

By submitting an application, you grant Explorer X a perpetual, worldwide, royalty-free license to use, reproduce, modify, publish, and distribute any submitted materials (including essays, photos, videos, and testimonials) for marketing, promotional, and storytelling purposes across all media channels. You represent and warrant that you own or have obtained all necessary rights, permissions, and consents to submit any materials included in your application, and that such materials do not infringe upon the intellectual property, privacy, or publicity rights of any third party. You further agree to indemnify, defend, and hold harmless Explorer X, its employees, partners, and affiliates from and against any and all claims, damages, liabilities, losses, costs, and expenses (including reasonable legal fees) arising out of or related to any breach of these representations, including but not limited to claims that submitted content infringes upon the rights of any third party.

5. Travel Award Details

The awarded travel experience has no cash value, is non-transferable, and cannot be exchanged for cash or alternative services. Each journey will be thoughtfully designed by Explorer X in collaboration with the Recipient, with all final decisions regarding destination, accommodations, experiences, and partners made at the discretion of Explorer X.

6. Travel Timing & Expiration

All awarded travel must be completed by December 31, 2027, unless otherwise agreed to in writing. Failure to complete travel within this timeframe may result in forfeiture of the award.

7. Recipient Responsibilities

Recipients are responsible for ensuring they have valid passports, visas, and any required documentation prior to travel. Recipients are also responsible for meeting any applicable health or vaccination requirements and for complying with all local laws and regulations. Explorer X strongly recommends the purchase of travel insurance. Explorer X is not responsible for delays, denied boarding, denied entry, or any issues arising from incomplete documentation or personal circumstances.

8. Assumption of Risk & Liability Waiver

Travel involves inherent risks, including but not limited to delays, cancellations, illness, injury, and unforeseen circumstances. By accepting the award and participating in the travel experience, the Recipient acknowledges and assumes these risks. To the fullest extent permitted by law, the Recipient agrees to release and hold harmless Explorer X, its employees, partners, and affiliates from any and all claims, damages, losses, or liabilities arising out of or related to participation in the travel experience.

9. Program Modifications & Cancellation

Explorer X reserves the right to modify, suspend, or cancel the Hero Travel Fund program at any time. Explorer X may also substitute elements of the travel experience due to availability, safety considerations, or unforeseen circumstances. Explorer X further reserves the right to revoke the award if an applicant or Recipient is found to have provided false information, engaged in fraudulent activity, or behaved in a manner inconsistent with the spirit of the program.

10. Publicity & Storytelling

Recipients agree to reasonably participate in storytelling efforts related to the Hero Travel Fund, which may include interviews, photography, videos, or written content, unless otherwise agreed in writing.

11. No Purchase Necessary

No purchase or payment is required to apply for or be selected for the Hero Travel Fund.

12. Governing Law

These Terms & Conditions are governed by the laws of the State of Washington, without regard to conflict of law principles.
